1. Who we are
Orchid Cleaning Services (“we”, “us” and “our”) provides this website for residential and commercial cleaning enquiries, customer communication and reviews. This Privacy Policy explains how we handle personal information collected through the website and when administering cleaning work.
For privacy questions, requests to access or correct your information, or concerns about how it has been handled, contact us through the Contact page. We may need to verify your identity before disclosing or changing personal information.
2. Information we collect
When you request a quote, we collect your name, email address and/or phone number, the type of cleaning requested, the service location, details of the work and any optional information you provide, such as property type, preferred date or cleaning frequency.
When you send a general enquiry, we collect your name, email address, message and any optional phone number. If you become a customer, we may also keep related customer, booking, job, scheduling, invoice and payment records needed to administer the service.
When you submit a review, we collect the completed job number, the booking email address or phone number used for verification, your chosen display name and location, your written review, star rating and permission to publish.
3. Where information comes from
Most personal information is provided directly by you. Information used to confirm a completed job may also come from customer, enquiry and job-assignment records already held by Orchid Cleaning Services. Where information about an individual is collected from someone else, we take reasonable steps to provide any notice required by New Zealand privacy law.
Providing information through the website is voluntary. However, we cannot respond to an enquiry without the necessary contact details, consider a quote without enough information about the job, or accept a verified review without matching completed-job details.
4. How we use your information
We use personal information to answer questions, assess quote requests, communicate with customers, arrange and administer cleaning services, maintain customer and job records, prepare invoices and payment records, and address service concerns.
We use job numbers and matching booking contact details to check review eligibility, prevent duplicate submissions, and moderate reviews before publication. We also use limited technical information to operate the website, detect spam, investigate errors and protect restricted administration functions.
We do not treat a quote or contact request as consent to send unrelated marketing. Any promotional electronic messages must have an appropriate lawful basis and a way to unsubscribe where required.
5. Customer reviews and public display
Only reviews linked to a verified completed job and approved for publication are eligible to appear on the Reviews page. Before submitting, you can change the name and general location that will accompany your review.
A published review can show your star rating, written comments, first name or other chosen display name, suburb or city, and job ID. Your booking email address and phone number are used to verify the job and are not shown on the review card. Do not include private addresses, contact information or sensitive details in your review text.
We may decline or remove reviews that cannot be verified, impersonate others, disclose personal information without permission, contain unlawful or abusive content, or breach our review rules. Negative feedback is not, by itself, a reason for rejection. You can ask us to correct or remove a published review through the Contact page.
6. Who may receive information
Enquiries and customer records are available to authorised people who need the information to run the business and respond to customers. Where necessary to deliver a cleaning service, relevant job details may be shared with people carrying out or coordinating the work.
Website hosting, technical support and email-delivery providers may process information on our behalf to operate the site and deliver notifications. We may also disclose information where required or permitted by law, or where necessary to protect legal rights. We do not sell customer personal information to advertisers.
7. Website technology, cookies and fonts
Our forms use submission checks and rate limiting that may process connection information, including an IP address, to prevent abuse. Website hosting systems may create ordinary access, security and error logs.
The website uses a session cookie for signed-in administrators and a functional 30-day cookie that remembers whether the homepage introduction has been viewed. This preference cookie stores only a yes/no flag. Visitors do not need a customer account to browse, request a quote or contact us. The website also requests the Inter typeface from Google Fonts, which may receive technical connection information when those files are loaded.
The current website does not provide online card checkout or an advertising-tracking feature. If we introduce new tracking, payment or marketing services, we will update this policy and provide any required notice or choices.
8. Storage, security and overseas services
Website enquiries, customer administration records and review submissions are stored in restricted server-side business records. We use measures including access controls, form validation and rate limiting to help prevent unauthorised access and misuse. No online service can be guaranteed to be completely secure.
Some website, font or email service providers may operate outside New Zealand. Where personal information is disclosed overseas, we will handle that disclosure in accordance with applicable requirements of the Privacy Act 2020.
9. How long we keep information
We keep personal information only for as long as reasonably necessary to handle enquiries, provide and administer services, manage reviews, address disputes and meet legal or accounting obligations. The website does not automatically erase enquiry records after a fixed number of days.
When records are no longer required, they should be securely deleted or de-identified as part of business record management. You can contact us to ask about information we hold and whether it can be deleted, subject to any lawful retention requirements.
10. Access, correction and privacy concerns
Under the New Zealand Privacy Act 2020, you may request access to personal information we hold about you and ask for inaccurate information to be corrected. We may request information to confirm your identity and may decline a request where the law allows.
Please use the Contact page for requests and explain which enquiry, job or review is involved. If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner at privacy.org.nz.
11. Changes to this policy
We may update this policy when our services, website features or information-handling practices change. The effective date displayed at the top of this page identifies the version published on the website.
